Lessons from a Tour Manager: Travel Systems That Reduce Stress on the Road

Spring break travel season is right around the corner. For many families that means excitement — and often a fair amount of stress.

In our house, travel looks a little different. My husband Morgan has spent the last 15 years working as a tour manager, which means he’s spent a lot of time on airplanes, in rental cars, in hotels, and navigating ever-changing schedules.

Over the years I’ve noticed something about how he travels: it’s rarely chaotic. Not because travel is easy — but because he has built systems that help him stay organized while traveling and reduce stress wherever he can.

Calm Travelers Know What They Can Control

When I asked Morgan what separates calm travelers from stressed ones, he pointed to something we talk about a lot in organizing too: control.

“A huge part of it is knowing what you have control over and what you don’t.”

When he said this, it made me smile because it’s something I talk about with clients all the time. Organizing isn’t about controlling everything in your home — that’s impossible. It’s about setting up systems that make life easier, even when things don’t go perfectly.

Travel naturally includes a lot of variables we can’t control — weather, delays, other travelers, and shifting schedules.

But the choices we make within those situations matter.

Instead of spiraling when plans change, Morgan focuses on the next step in front of him. A delayed flight might mean grabbing lunch, catching up on emails, or simply resting for a moment.

As he puts it:

“Making organized and smart choices on things you can control greatly reduces the amount of unnecessary stress.”

Reduce Stress Before Travel Day

One of the biggest stress points Morgan sees on the road is simple disorganization — especially with tech.

“I travel with someone who keeps all his cords in a big Ziploc bag. Watching him dig through it to find the right charger gives me anxiety.”

Just like at home, when everything has a place it’s much easier to find when you need it. A small system — like a tech organizer or cord pouch — can prevent those frantic moments of searching through bags.

Control the Small Comforts

Coffee is an everyday ritual in our house. We grind our beans, use a Chemex, and enjoy the quiet routine each morning.

For years Morgan tried to recreate that ritual on the road by researching the best coffee shop in every city he visited (he doesn’t care for hotel room coffee). Eventually he realized it was something he didn’t want to leave his room — or spend money — on every morning.

So he built a portable coffee kit.

Inside his suitcase:

  • a hand-cranked grinder

  • an electric kettle

  • a single-cup pour-over

  • a thermos

Now he can make coffee exactly how he likes it without leaving his hotel room.

“Now it’s a choice to treat myself at a coffee shop instead of something I have to do every morning.”

Home Systems Make Travel Easier

One thing that stood out to me during our conversation was how much travel actually starts at home.

“I unpack things in the same place every time. When it’s time to travel again, I know exactly where everything is.”

Because Morgan travels so often, we’ve created dedicated spaces in our home for his travel items. He has a closet for work gear and a setup in our garage where he unloads his suitcases when he returns home.

We also keep separate travel kits for different types of trips — Morgan’s work travel, our family trips, and our camping gear. In the past we tried swapping items between bags and constantly forgot things.

Having dedicated systems has eliminated that problem.

What I love about Morgan’s approach to travel is that it mirrors what I tell clients all the time: organization isn’t about perfection — it’s about reducing friction.

When systems are in place, whether at home or on the road, life simply moves more smoothly.
